How to Coordinate an Event When Someone Else Is Paying

Separate the coordinator and the payer without sharing private details.

A parent paying for a celebration, a company paying for a team dinner: the person planning is often not the person paying. Mixing both roles into one email thread creates confusion and oversharing.

The coordinator should be able to suggest a payer, but nothing should be sent until the vendor reviews and authorizes it — the coordinator cannot obligate someone else financially.

The payer needs a narrow view: the vendor, the event name and date, the confirmed amounts, and a hosted payment link. Not the questionnaire, not dietary notes, not the guest list.

And a payment should only ever be recorded as paid when it is verified — opening a link is not a payment.
